Back up and restore

Every night, the server makes a full backup of the venue: the database, the proof photos, the player photos, the archives and the server’s secret settings. It is always encrypted, kept on the PC and copied to the adopted USB sticks. The venue keeps running during the backup.

On installation day, do three things: set the recovery phrase, adopt two USB sticks, check that the first backup succeeded. This screen only exists in the venue back office (not online).

As long as no phrase is set, no automatic backup takes place and a critical alert says so (“Sauvegardes ARRÊTÉES : la phrase de restauration n’est pas posée” — Backups STOPPED: the recovery phrase is not set).

  1. Sauvegardes (Backups) tab, Phrase de restauration (Recovery phrase) card (badge À poser (To set)).
  2. Choose the phrase: several unrelated words, easy for you to remember, never a phrase you have read somewhere. The Règles de la phrase de restauration (Recovery phrase rules) are shown and ticked as you type.
  3. Type it again.
  4. Write it on paper and tick “J’ai écrit la phrase sur papier” (I have written the phrase on paper).
  5. Confirm with your password (the one for your account), then Enregistrer la phrase (Save the phrase).

The badge changes to Posée (Set); the first backup follows.

  • Vérifier ma phrase… (Check my phrase…) (recommended once a month, with the paper from the safe) confirms that the written phrase is the right one.
  • Changer la phrase… (Change the phrase…) asks for the old one. Backups already made keep their own phrase: keep the old one as long as they exist.

A backup on the PC protects you from a mistake, not from a dead disk. Copies on USB sticks do.

  1. Plug a USB stick into the venue PC (FAT32, exFAT, ext4 or NTFS).
  2. Clés USB (USB sticks) tab: the stick appears within a few seconds (sticks are re-read every 30 s).
  3. Click Adopter cette clé… (Adopt this stick…) and confirm. Renommer… (Rename…) gives it a meaningful name (“Clé A”, “Clé B”).
  4. Do the same with a second stick.

Only adopted sticks receive the automatic copies, after each backup; Copier maintenant (Copy now) makes one straight away. The rule recommended by the screen: two adopted sticks, one stays plugged in, the other is swapped every week and kept outside the venue. An alert warns you if no copy has been made to a stick for 7 days (adjustable).

On the stick, backups are stored in a LuckyTouch folder. They are encrypted: a lost stick cannot be opened without the phrase.

The État des sauvegardes (Backup status) card shows: Dernière réussie (Last successful), Dernier essai (Last attempt), Prochaine (Next), Disque du PC (PC disk), and any Dernier échec (Last failure).

  • Sauvegarder maintenant… (Back up now…) starts a full backup by hand (the venue keeps running).
  • Essayer cette sauvegarde (Test this backup) (in the Sauvegardes sur ce PC (Backups on this PC) list) reloads the backup into a disposable test database, never the real one, and checks it. The server also does this on its own, at night, every 7 days by default. A backup that has never been tested is not a safe backup: an alert reminds you after 30 days without a successful test.
  • Télécharger (Download) saves a backup on the computer displaying the back office (to keep a copy elsewhere).

The frequency, the time (3 a.m. by default), retention, destinations and alerts are set in Paramètres (Settings) → Réglages (Settings), “sauvegardes” (backups) group; the screen’s Réglages (Settings) tab summarises them.

Use this only after a serious mistake or a damaged database: everything that happened since the chosen backup is lost.

  1. Restaurer (Restore) tab, Choisir la sauvegarde à restaurer (Choose the backup to restore), then Restaurer cette sauvegarde… (Restore this backup…). A backup on a USB stick must be imported first: Clés USB (USB sticks) tab → Lire la clé (Read the stick) → Importer (Import).
  2. Vérifier (Check), then Voir ce qui sera perdu (See what will be lost): the screen quantifies the loss (duration, entries, closed days).
  3. J’ai lu : confirmer… (I have read: confirm…): write the Motif (Reason), tick “J’ai compris que tout ce qui s’est passé depuis cette sauvegarde sera perdu” (I understand that everything that happened since this backup will be lost), type RESTAURER, enter your password, then Restaurer maintenant (Restore now).

The server first makes a safety backup of the current state: the Revenir à l’état d’avant la restauration (Go back to the state before the restore) card lets you undo for 30 days. The registers and the back office stop while the restore runs; everyone signs in again afterwards.

After the restore, the À faire après la restauration (To do after the restore) card lists what is left to do: accept the loss with the platform if the venue is linked, re-check the payments from before the restore (“J’ai revérifié l’argent…” — I have re-checked the money…), recount the registers, take an inventory of the safe, read the meters. The details are in Backups and restore.
