Exports and e-mail subscriptions

Three screens to get the venue’s figures out: Exports (a file right away), Exports différés (Deferred exports: a long file, prepared separately) and Abonnements (Subscriptions: reports sent by e-mail, without having to think about it). Each file is produced on demand by the venue server, with its period, its filters and its author: a figure taken out of the system stays explainable.

  1. Open Rapports → Exports (Reports → Exports). The catalogue lists all the venue’s reports (machines, manufacturers, register, transfers, manual payments, summary, safe, shifts, adjustments, gaming days, performance, inventory…). The administrator also finds the « Journal d’audit (décisions humaines) » (Audit log (human decisions)) there.
  2. Click Générer → (Generate →) on the report you want.
  3. Choose the Période (Period) (in gaming days) and the Format (PDF, Excel, CSV). The fleet inventory has no period: it is the state at that instant.
  4. Click Générer le fichier (Generate the file).

Exports récents de ce poste (Recent exports from this computer) keeps the list of what you have generated from this computer, with Télécharger à nouveau (Download again) or Relancer (Run again). This list belongs to the computer: another computer has its own.

A document over a very long period (more than 366 gaming days, or too many lines for a direct download) is not downloaded in one go: it is prepared separately.

  1. From a statement’s Exporter (Export) button (for example Pertes or the General ledger), choose the period. Beyond 366 gaming days, the panel offers Préparer le fichier (export différé) (Prepare the file (deferred export)); when the document is too long, it offers Demander l’export différé (Request the deferred export).
  2. Open Rapports → Exports différés (Reports → Deferred exports). The request appears there with its status: queued, in progress, prêt (ready), failed, interrupted or expired.
  3. When it is ready, click Télécharger (Download). A failed or expired request is run again with Redemander (Request again).

The same request is never done twice: if it is already in progress or ready, you get it back. The file is kept for a limited time (setting « Export différé : garde du fichier (heures) », Deferred export: file retention (hours)), then deleted. Each person sees their own requests; the administrator sees everyone’s. Deferred exports are requested and downloaded in the back office of the venue.

Who receives what, and when. Operations read the list and can click Envoyer maintenant (Send now); creating, changing, enabling or deleting a subscription is reserved for the administrator.

  1. Click Nouvel abonnement (New subscription).
  2. Give a Nom (Name) (for example « Direction — synthèse du jour », Management — daily summary) and the Destinataires (Recipients), separated by commas.
  3. Tick the Rapports (Reports) and the Formats to send.
  4. Choose the Période envoyée (Period sent): Chaque jour (Every day), Chaque semaine (Every week) (with the Jour, Day) or Chaque mois (Every month) (with the Jour du mois, Day of the month, from 1 to 28), then the Heure d’envoi (Send time) and the Langue (Language) (Français, Anglais, Malgache — French, English, Malagasy). You can also tick Envoyer à la clôture de la journée (Send at gaming day close).
  5. Leave Actif (Active) ticked, then save.

The report goes out as soon as the period is over — the gaming day, not the calendar date —, it is caught up after a server restart, and never sent twice.

The list shows the status of the last sending: sent on…, failed with its reason and the number of attempts, or never sent. After three failures, automatic sending waits for the next gaming day; a failure also raises an alert.

Subscriptions need the venue’s e-mail sending server.

  1. Open Settings, group Rapports (Reports), section E-mail: server, port, sender and credentials provided by your e-mail provider.
  2. Save, then, under the last field, enter an address in Tester l’envoi d’e-mail (Test e-mail sending) and click Envoyer l’essai (Send the test).
  3. Check that it arrives. If not, the error message says what the sending server replied.
