Mobile money

When players pay or are paid by mobile money, the money does not go through the drawer: it goes through the venue’s account with the operator. This screen compares what the operator saw (its statement) with what the venue recorded, transaction by transaction.

Reading: operations and finance. Importing, trying a format, posting fees: operations. Setting the statement format and giving an operator its own account: administrator. Finance sees no buttons.

An operator is a payment mode outside the drawer, counted in takings (set in Payment modes), for example Orange Money, MVola or Airtel Money (brands given as examples; Lucky Touch is not affiliated with them). A “complimentary” mode is never an operator. If the list is empty, create the payment mode first.

Click an operator to open its record, with three tabs: Relevés (Statements), Rapprochement (Reconciliation), Format du relevé (Statement format).

Set the statement format (once per operator)

Section titled “Set the statement format (once per operator)”

Each operator exports its statements in its own file format. You have to tell Lucky Touch how to read it.

  1. Open the Format du relevé (Statement format) tab.
  2. Enter the separator, the encoding, the lines to skip before the header, and which column holds the date, the time, the amount, the direction (in or out), the reference and the fee. A column is identified by its title in the header.
  3. Click Essayer sur un fichier… (Try on a file…) with a real statement: the first lines read are shown, with the totals. The try saves nothing and imports nothing.
  4. When the reading is right, click Enregistrer le format (Save the format) (administrator).
  1. In the operator’s record, click Importer un relevé (Import a statement).
  2. Choisir le fichier… (Choose the file…): the statement exported from the operator’s portal.
  3. Check the Période couverte (Period covered) (by default, from the day of the first line to the day of the last) and add a comment if needed.
  4. Click Importer le relevé (Import the statement).

The import is all or nothing: if a single line cannot be read, nothing is imported, and the message gives the line number and the reason. An amount is never rounded or guessed.

A statement’s record shows the period covered, the lines (new, already known, ignored), the fee, its posting to the general ledger, who imported it and when. Lines can be filtered by Entrées (In), Sorties (Out), Commissions (Fees).

The fees kept by the operator are posted to the general ledger at import, dated at the end of the statement’s period. If the general ledger was not open yet, a banner says so: open the statement and click Passer les commissions (Post the fees). A fee in another currency is never converted.

The Rapprochement (Reconciliation) tab covers one statement (Voir le rapprochement, See the reconciliation, from its record) or a period. Each line gets a status:

Status What it means
Rapproché (Matched) The venue and the statement say the same thing.
Écart de montant (Amount difference) The same transaction, but not the same amount.
Manquant au relevé (Missing from statement) The venue recorded the transaction; the statement, which covers that moment, does not show it.
Inconnu de la salle (Unknown to the venue) The statement shows a transaction the venue did not record.
Non couvert par un relevé (Not covered by a statement) No statement imported for that moment: this is not a shortfall.
Autre devise (Other currency) A line in a currency different from the venue’s.
Commission de l’opérateur (Operator fee) A fee, not a player transaction.

Transactions are paired first by their reference, then by the same amount within a time margin, only when that amount is unique on both sides. Otherwise the line says why matching was not attempted. The overall verdict is Rapproché (Matched), Rapproché en partie (Partly matched), Écarts à expliquer (Differences to explain) or Non mesuré (Not measured). Each venue transaction opens its record so you can correct it if needed; the reconciliation is recalculated every time it is read.

The reconciliation document (PDF, Excel, CSV) is downloaded from the venue back office.

Give an operator its own account (administrator)

Section titled “Give an operator its own account (administrator)”

By default, all mobile money cash is in the same account. To track an operator separately, click Donner un compte à cet opérateur… (Give this operator an account…), choose the account and the reason, then Donner ce compte (Give this account). Past entries keep their account: nothing is rewritten.
