Group treasury
The Trésorerie (Treasury) tells you where the company’s cash is: in the safes, in the registers, and in transit between two venues. Each venue stays in charge of its money: the treasury reads what the venues send, and every decision goes as an order that the venue carries out. It opens with Toutes les salles (All venues) chosen. Finance reads it without deciding anything; security does not see it.
Two tabs: Maintenant (Now; the real-time state) and À une date — grand livre (At a date — general ledger; the position at a past date, taken from the general ledger).
The position by currency
Section titled “The position by currency”One card per currency, never converted:
- Coffres + transit (Safes + transit; « dont coffres » — of which safes, « dont transit » — of which transit) and Espèces de la salle (Venue cash) — the ⓘ help explains each one;
- « état au … (plus ancien : …) » (state at … (oldest: …)): each venue counts with the time of its last update;
- the declared losses in transit and the number of loss requests to decide;
- the Total partiel (Partial total; a venue is not measured) and Non fiable (Not reliable) banners.
The Salles (Venues) section details each venue: État (State; « à jour » — up to date, « dernier connu » — last known, « non mesurée » — not measured, « non fiable » — not reliable), Coffre (Safe), Caisses ouvertes (Open registers), Fonds hors caisse (Funds outside registers), Espèces de la salle (Venue cash), Envois réservés (Reserved shipments). The owner and the administrators have Demander un envoi… (Request a shipment…) on each venue: the venue that must send carries out the request (a normal shipment, with its transfer slip) or refuses it. Open requests are listed in Demandes d’envoi ouvertes (Open shipment requests).
Inter-venue transfers
Section titled “Inter-venue transfers”The Transferts entre salles (Inter-venue transfers) section (filter Ouverts — Open / Tous — All) follows each transfer slip: De → à (From → to), Envoyé (Sent), Reçu (Received), Transit, État (State), Âge (Age). The states say what happened: « En transit » (In transit), « Reçu, rapproché » (Received, reconciled), « Revenu au coffre (annulé) » (Back in the safe (cancelled)), « Écart entre l’envoi et la réception » (Difference between sending and receipt), « Perte déclarée (transit fermé) » (Loss declared (transit closed))… A transfer left in transit too long raises an alert in the Alertes (Alerts) section (critical first, « critique » — critical — or « à surveiller » — to watch — tags; they cannot be acknowledged).
Clicking a transfer slip opens its record: Envoi (Sending), Réception (Receipt), Rapprochement (Reconciliation). The sending and the receipt themselves are done at each venue’s safe (see Inter-venue transfers).
Decide on a loss in transit
Section titled “Decide on a loss in transit”When a venue declares cash lost in transit above its threshold, its declaration becomes a request that only the owner decides on. Nothing changes in the transit in the meantime. The other readers see « le propriétaire tranche » (the owner decides).
- In Demandes de perte à trancher (N) (Loss requests to decide (N)), read the line: « … demande à déclarer perdus … sur le bordereau … » (… asks to declare … lost on transfer slip …). Voir le transfert → (See the transfer →) opens the transfer slip.
- Approuver… (Approve…) → Approuver la perte (Approve the loss); or Refuser… (Refuse…) → Motif du refus — obligatoire (Reason for refusal — required; at least 5 characters) → Refuser la demande (Refuse the request).
- The decision goes to the venue as an online action: follow it in Actions en cours (Actions in progress; see One venue or all venues). The effect appears in the treasury at the venue’s next update.
On a transfer slip’s record, the owner also has:
- Déclarer une perte… (Declare a loss…): Salle qui porte la perte (Venue that bears the loss), Montant perdu (Amount lost), reason required;
- Contre-passer… (Reverse…): the cash has been found — Montant retrouvé (Amount found).
