Intakes
An intake is what the customer handed in at the register: an amount, a payment mode, a reference. It funds one or more credits to machines. What has not been credited yet is its remainder: it stays attached to the intake, and can be reused, refunded, or turned into a debt.
The list
Section titled “The list”Tabs: En cours (In progress: something is still left to commit), Tous (All), Avec anomalie (With anomaly: unfunded intakes). Filter by Caisse (Register). Each row: Mode · référence (Mode · reference), Reçu (Received), Engagé (Committed), Reste (Remainder), État (State), Qui · quand (Who · when). An intake hors chiffre (not in takings, complimentary) is marked as such.
An intake’s record
Section titled “An intake’s record”Click a row. At the top: Reçu (Received), Engagé (Committed), Remboursé (Refunded), En créance (As debt), Régularisé (Adjusted), Reste (Remainder). Then:
- Une ligne par machine (One row per machine): each funded credit, with its Montant (Amount), the Effectif (Actual), the Verdict, the Preuve (Proof) and who ordered it;
- Créances nées de cet encaissement (Debts arising from this intake);
- Remboursements, créances, régularisations (Refunds, debts, adjustments), in the order they happened.
Adjust an unfunded intake
Section titled “Adjust an unfunded intake”An intake is unfunded when the machines received more than what is left to fund it: for example, a credit proof arrived late, after the customer had already been refunded. The machine received the money, and so did the customer. A critical alert flags it, and the register cannot be closed normally until it is fixed. Acknowledging the alert fixes nothing: only the adjustment clears it.
- Open the intake (from the alert, from the Anomalies à régulariser (Anomalies to adjust) counter on Live floor, or from the Avec anomalie (With anomaly) tab). The Encaissement non financé (Unfunded intake) banner explains it.
- Click Régulariser (Adjust).
- Choose what really happened:
- “Le client a bien payé ce montant” (The customer did pay this amount): the customer hands in the difference now, or the refund never took place. Enter the reference if the mode requires one; if the original register is closed, choose the Caisse qui reçoit l’argent (Register receiving the money: an open main register).
- “La salle absorbe la perte” (The venue absorbs the loss): the amount becomes an expense named “perte absorbée” (absorbed loss), visible in the register and in the register report. It is not a drawer difference.
- “Compenser sur sa créance” (Offset against their debt): the venue already owed money to this customer; the amount is deducted from their debt. If it is only partly offset, the balance still owed moves to a new debt under the same code (the customer keeps their slip).
- Check the Montant (Amount: pre-filled with the whole unfunded amount, can be changed for a part) and write the Motif (Reason) in full.
- Click Enregistrer la régularisation (Save the adjustment). The screen shows the effect, in full.
Cancel an intake entered twice
Section titled “Cancel an intake entered twice”The same money was taken in twice by mistake? Operations can cancel the duplicate.
- Open the extra intake.
- Click Annuler (saisi par erreur)… (Cancel, entered by mistake…).
- Write the reason, then confirm Annuler l’encaissement (Cancel the intake).
No note leaves the register (none ever came in): the drawer goes back to its state before the entry. The action is written to the audit log.
The adjustments register
Section titled “The adjustments register”All adjustments made: Quand (When), Encaissement (Intake), Sens (Direction), Montant (Amount), Motif (Reason), Effet (Effect), Qui (Who). Filter by Sens (Direction) — Compléments (Top-ups), Pertes absorbées (Absorbed losses), Compensations (Offsets) — and by Caisse (Register). Absorbed losses appear there as named expenses, never as anonymous differences. The register can be exported with the same filters.
