Debts

A debt is what the venue owes a customer. It arises in two ways: a withdrawal made at a tablet that does not have the notes (the machine paid out, the customer will be paid at the counter), or the remainder of an intake that the customer leaves as a debt. The customer gets a 4-character code.

Its amount is never a requested amount: for a withdrawal, it is the proven actual amount (what the machine really paid out); for an intake remainder, it is the money received and still in the drawer, not credited. It belongs to the venue, not to a register: it survives the register close, the change of day and a server restart. It never clears on its own.

Tabs: À payer (To pay), Non réclamées (Unclaimed), Réglées (Settled: paid, credited or offset), Toutes (All). Rechercher par code (Search by code) finds a debt from the first characters of its code.

Each row: Code, Montant (Amount), Origine (Origin), Âge (Age), État (State), Payé en (Paid in), Née le (Created on). A debt left open too long is highlighted; past the set delay, an alert flags it.

Balance âgée (Aged balance) (button at the top) exports the debts sorted by age.

Click a row: Montant dû (Amount owed), Origine (Origin), Âge (Age), État (State), Née de (Arose from: who, which register, when), Payée (Paid), Payé en (Paid in), and the Historique (History) of all its cycles. The links lead to the original intake, to the transfer that proves it or to the machine credit that converted it.

How a debt clears:

  • paid at any open main register (at the register);
  • credited to a machine (at the register): the debt funds the credit, no note leaves the drawer;
  • offset by an intake adjustment (see Intakes). If the offset covers only part of it, the offset debt is closed and the balance still owed moves to a new debt under the same code: the customer keeps the slip they are holding.

See Pay a debt with its code.

The customer does not come back? Operations can close the debt.

  1. Open the debt (À payer, To pay, tab).
  2. Click Clore « non réclamée »… (Close as “unclaimed”…).
  3. Write the Motif (Reason) in full (for example: “client jamais revenu malgré deux appels”, customer never came back despite two calls).
  4. Confirm Clore « non réclamée » (Close as “unclaimed”).

The customer came back with their code:

  1. Open the debt (Non réclamées, Unclaimed, tab).
  2. Click Rouvrir… (Reopen…), write the reason (“client revenu avec son ticket”, customer came back with their receipt), then Rouvrir la créance (Reopen the debt).

The debt can again be paid at any open main register. If its code was taken by another debt in the meantime, a new code is issued: the record shows it (Nouveau code rendu par le serveur, New code returned by the server), to hand to the customer. Otherwise, it is Rouverte sous le même code (Reopened under the same code).

In Settings, alerts group: Créance ouverte depuis (jours de 24 h) (Debt open for, 24-hour days) — 7 by default. A debt open for longer is raised as an alert (“créance qui traîne”, debt left open), until it is paid, credited, offset or closed.
