Credit a machine
The customer hands over money, the register puts it on a machine. This action is an intake: the money comes in at the moment the customer gives it, then it funds one or more credits. See How money works.
Credit a machine
Section titled “Credit a machine”- Tap Créditer (Credit) (or the + key on the keyboard).
- Machine: tap the machine’s tile (on a phone: “Choisissez une machine”, Choose a machine). The last machines served are offered as shortcuts.
- Mode de paiement (Payment mode) — “Comment le joueur paie” (How the player pays): Espèces (Cash), a mobile money mode, Offert (Complimentary)… (your venue’s modes).
- Montant (Amount): type the amount, or tap one of the amounts offered.
- Référence (Reference) (only for a mode that requires it, such as mobile money): enter the Référence du paiement (Payment reference) exactly as it appears on the customer’s receipt. The counter under the field (“8 / 10”) tells you whether the length is right; Continuer (Continue) stays off until it is.
- Vérifier (Check): the header says “+ CRÉDIT — Le client achète du crédit : il entre sur la D-01” (+ CREDIT — The customer buys credit: it goes onto D-01) (or “Crédit offert”, Complimentary credit). Read the machine, the mode, the amount and the effect on the drawer again.
- Tap Créditer 50 000 Ar (Credit 50,000 Ar) (the button shows the amount).
- Verdict: within a few seconds, the register says what the machine really received.
A cash credit raises the drawer by the amount received; with mobile money or complimentary, the drawer does not move (“hors tiroir”, off-drawer). The Tiroir après (Drawer after) line of the Vérifier step shows it.
A tablet’s credit uses up its ceiling, whatever the mode: the Vérifier step shows the Effet sur le plafond (Effect on the ceiling) and the Plafond après (Ceiling after). A ceiling frozen by your main register refuses any credit (“Plafond gelé par l’exploitation : aucun crédit n’est possible depuis cette tablette.”, Ceiling frozen by operations: no credit is possible from this tablet.); only that register can unfreeze it. The cash received is added to your Espèces collectées (Cash collected), which you will hand in to the main register.
The steps are the same, in the Opération (Operation) tab. The machine tiles are shown in the Machine step; Annuler (Cancel), at the top, abandons.
The verdict
Section titled “The verdict”| Verdict | What happened | What you do |
|---|---|---|
| Crédité (Credited) | The machine received the amount, backed by the device’s proof. | Opération suivante (Next operation), or Réimprimer le ticket (Reprint the receipt). |
| Crédit partiel (Partial credit) | The machine accepted only part of it: “l’écart reste sur l’encaissement — à créditer ailleurs ou à rembourser au client” (the difference stays on the intake — to credit elsewhere or refund to the customer). | Credit the difference on another machine, or give it back (Encaissements, Intakes screen). |
| Refusé par la machine (Refused by the machine) | Nothing moved on the machine; the sentence says why (a limit, for example). The amount stays on the intake. | Modifier le montant (Change the amount) (or Réessayer avec, Try again with, the amount offered), Encaissements en cours (Intakes in progress), or Abandonner (Abandon). |
| En attente du boîtier (Waiting for the device) | The device is offline: the order will leave when it is back. | Opération suivante (Next operation); the verdict will arrive in “À traiter” (To do). |
| Verdict incertain (Uncertain verdict) | The device did not confirm. | Do not credit again, do not refund. Voir la preuve (See the proof); operations decides. |
| Issue inconnue — vérification en cours (Unknown outcome — checking) | The server did not answer (network). The register reads the order again. | Wait. If the order did not arrive (“Ordre non parvenu au serveur”, Order did not reach the server), Renvoyer (même référence) (Resend (same reference)) sends it again with no risk of a double credit. |
An intake still has a remainder
Section titled “An intake still has a remainder”If an earlier intake still has a remainder (a refused or partial credit, for example), the register stops you at the Vérifier step: Un encaissement a encore un reste (An intake still has a remainder), with its amount, its time and the machine that left it.
- The customer does not hand over money: tap Créditer avec cet encaissement (Credit with this intake). No banknote moves.
- The customer hands over more money: tap Nouvel encaissement (le client remet de l’argent) (New intake (the customer hands over money)).
Otherwise, the same money would be counted twice.
One payment for several machines
Section titled “One payment for several machines”The customer pays at once (for example 100,000 Ar in Orange Money, a single reference) to play on several machines.
- In Créditer, tap Répartir un paiement sur plusieurs machines (Split a payment over several machines). For a mode with a reference, the register itself asks the question at the Mode step: “Paiement … : une machine ou plusieurs ?” (Payment …: one machine or several?) — choose Répartir sur plusieurs machines (Split over several machines) (or Sur cette machine, On this machine).
- Mode de paiement, then Montant: the “Montant reçu du client” (Amount received from the customer). Then the Référence if the mode requires it.
- Répartition (Split) — “Répartir sur les machines” (Split over the machines): for each machine, pick it, type its amount and tap Ajouter la ligne (Add the line). Tout le reste (All the rest) puts on the line what is not yet split; Enlever (Remove) removes a line.
- Vérifier, then Encaisser 100 000 Ar · 2 machines (Take in 100,000 Ar · 2 machines).
- The verdict gives one line per machine: “50 000 Ar crédités” (50,000 Ar credited), “… crédités sur … — l’écart reste sur l’encaissement” (… credited out of … — the difference stays on the intake), “Refusé — le montant reste sur l’encaissement” (Refused — the amount stays on the intake), or “Verdict incertain — réservé tant que l’exploitation n’a pas tranché” (Uncertain verdict — reserved until operations has decided).
The Encaissements screen
Section titled “The Encaissements screen”Encaissements en cours (Intakes in progress) lists what customers handed over that is not yet committed to a machine. The remainder belongs to the customer, and it blocks the closing. The Reste (Remainder) banner reminds you: “1 encaissement en cours : … au client, à engager, rembourser ou laisser en créance.” (1 intake in progress: … to the customer, to commit, refund or leave as a debt.)
For each intake: its mode and its reference, who took it in and at what time, its credit lines (credited, refused, uncertain, in progress), then Reçu (Received), Engagé (Committed), Remboursé (Refunded), En créance (As debt), Reste (Remainder). Three actions:
| Button | Effect |
|---|---|
| Créditer une machine (Credit a machine) | Opens a credit funded by this remainder (“Financé par l’encaissement … : reste …”, Funded by intake …: remainder …); no banknote moves. |
| Rembourser (Refund) | Gives all or part of the remainder back to the customer in person: type the Montant remboursé au client (Amount refunded to the customer) (“Tout le reste : l’encaissement se ferme.”, All the rest: the intake closes., or “Partiel : l’encaissement garde …”, Partial: the intake keeps …). The drawer goes down. |
| Convertir en créance (Convert into a debt) | Leaves the remainder owed to the customer, with a code: see Pay a debt with its code. |
While a funded order is waiting for its verdict, the remainder cannot be settled (“Un ordre financé attend son verdict : le reste se solde après.”, A funded order is waiting for its verdict: the remainder is settled afterwards.). The mode of an intake is corrected with Signaler une erreur de mode (Report a wrong mode): see Report a wrong payment mode.
A coin machine is credited in whole coins: see Coin (pulse) machines.
