Safe: refill, drop, requests

The safe belongs to operations. The main register requests: cash when the drawer runs low (a refill), or putting the surplus away (a drop to the safe). The money moves only at the moment it really changes hands, and every movement is written to the ledger.

In the navigation bar, tap Coffre (Safe).

  1. Open the Coffre screen.
  2. Choose the direction: Ravitaillement (Refill: from the safe to your drawer) or Dépôt au coffre (Drop to the safe: from your drawer to the safe). The card title follows: “Demander un ravitaillement” (Request a refill) or “Demander un dépôt au coffre” (Request a drop to the safe).
  3. Type the Montant (Amount) on the keypad (or on the keyboard). The amounts offered (1,000,000 Ar, 2,000,000 Ar, 3,000,000 Ar, 5,000,000 Ar) are only shortcuts: they fill in the field, which you can correct.
  4. Write a note for operations: it is required (at least 3 characters) and it is what the manager reads.
  5. Tap Envoyer la demande (Send the request). The register confirms “Demande envoyée au coffre.” (Request sent to the safe.) and goes back to the main screen.

Only one open request per direction: while your refill is waiting, you cannot open a second one.

Two shortcuts lead to the same place:

  • the Ravitaillement (Refill) operation on the main screen (steps Montant → Note → Vérifier → Verdict, Amount → Note → Check → Verdict, button Envoyer la demande);
  • the Caisse basse (Register low) banner (“Merci de faire un réapprovisionnement du coffre vers la caisse.”, Please make a refill from the safe to the register.) and its Demander un ravitaillement (Request a refill) button, which opens this same operation.

Under the form, the Demandes de cette caisse (Requests from this register) list shows each request, its amount and its state, live:

State What it means
en attente (pending) nobody has decided yet
autorisée (approved) a manager has given the go-ahead; the line says who and when, to the second (“autorisée par Responsable C à 14:05:12”, approved by Responsable C at 14:05:12)
exécutée (carried out) the cash has moved; Demande exécutée (Request carried out) notification
refusée (refused) nothing has moved; the line gives the “Motif du refus : …” (Reason for refusal: …); Demande refusée (Request refused) notification
expirée (expired) the register was closed before any decision

A manager can approve your request without coming to the register: from the Lucky Touch Admin app on their phone (see Approve from your phone) or from the back office. The register rings and shows the approval at once. Approving does not move money: you carry it out, at the moment the banknotes change hands.

  1. The manager (or the person they send) brings you the banknotes from the safe.
  2. On the line of the request — “Autorisée à distance : exécutez-la au moment où les espèces passent, sans élévation.” (Approved remotely: carry it out at the moment the cash changes hands, without elevation.) — tap Exécuter maintenant (Carry out now).
  3. The register confirms “Demande exécutée : 200 000 Ar, tiroir 1 450 000 Ar.” (Request carried out: 200,000 Ar, drawer 1,450,000 Ar.) and your drawer goes up by the same amount.

The amount carried out is always the amount of the approved request: for another amount, make a new request.

An approved drop is not carried out by the register alone. Even when approved, a drop to the safe is carried out by operations, on your device, with elevation (see below): the line says so, “Dépôt autorisé à distance : l’exploitation l’exécute avec élévation, au moment où les espèces passent.” (Drop approved remotely: operations carries it out with elevation, at the moment the cash changes hands.), and no button is offered to you.

In the back office, a venue can set what happens when a refill request stays unanswered (Paramètres → Réglages, Settings → Settings, “ravitaillement” (refill) group, see Settings). Everything is off by default: a venue that sets nothing sees no change. A drop to the safe is never concerned.

  • Reminder: after the set delay, the managers receive a critical notification; at twice the delay, the owner.
  • Manager on call: the person on call for the shift is warned first.
  • Day’s reserve: a manager approves in advance an amount of refills. A request that fits in it is approved by itself — the line shows Autorisée par la réserve du jour (Approved by the day’s reserve) — and you carry it out like a request approved remotely.
  • Automatic approval: after a delay with no answer, you carry out the request yourself, within two ceilings (per request, and for the whole venue over the shift).

What you see on the line of a request, with automatic approval set:

  1. While waiting, a countdown to the second: “Auto-validable dans 07:32” (Can be auto-approved in 07:32).
  2. When time is up, the register reads the request again. If it fits within the ceilings: “Auto-validée faute de réponse : 500 000 Ar” (Auto-approved for lack of answer: 500,000 Ar). Otherwise, only part of it is: “Auto-validée jusqu’à 500 000 Ar ; reste 300 000 Ar en attente” (Auto-approved up to 500,000 Ar; 300,000 Ar remaining pending).
  3. Tap Exécuter 500 000 Ar (Carry out 500,000 Ar) when the banknotes change hands (“Personne n’a répondu : exécutez la partie auto-validée au moment où les espèces passent, sans élévation.”, Nobody answered: carry out the auto-approved part at the moment the cash changes hands, without elevation.).
  4. The rest becomes a new request, “Reste de la demande n° 12” (Rest of request no. 12), which waits for a real approval: it is never auto-approved in its turn.

If the shift ceiling has already been reached: “Plafond du shift atteint : en attente d’une autorisation” (Shift ceiling reached: waiting for an approval). A refusal by the manager before it is carried out cancels the automatic approval. Each automatic approval is recorded in the log and notified to the owner.

Carrying out or refusing a request that is not approved, refilling or dropping directly, bringing money in from or taking it out to the outside: “réservé à l’exploitation” (reserved for operations). A manager identifies on your device, for the time of one action.

Who can: AdministratorOperationsSupervisor

  1. At the bottom of the Coffre screen, in the “Action réservée à l’exploitation” (Action reserved for operations) box, tap S’identifier (Identify).
  2. The manager types their Identifiant exploitation (Operations username) and their PIN ou mot de passe (PIN or password), then taps Élever (Elevate).
  3. They choose the action: Exécuter la demande (Carry out the request), Refuser la demande (Refuse the request), Ravitailler la caisse (Refill the register) or Déposer au coffre (Drop to the safe) (these last two take the amount typed in the form; with no amount, they are not offered).
  4. The elevation closes after the action (or with Quitter l’élévation, Leave elevation). It is recorded in the ledger.

On the main register only, the Coffre ↔ extérieur (Safe ↔ outside) card records money exchanged with a third party (another system of the venue, the bank, the owner…). These movements are not in the venue’s takings.

  1. Choose Sortie vers un tiers (Out to a third party) or Entrée d’un tiers (In from a third party).
  2. Choose the Contrepartie (Counterparty). If there is none: “Aucune contrepartie : l’administrateur les crée au back-office (Coffre → Contreparties).” (No counterparty: the administrator creates them in the back office (Safe → Counterparties).)
  3. Type the Montant (Amount), the Commentaire (Comment) (required, at least 5 characters — the why) and, if you have it, the Pièce (Document) (slip number, receipt…).
  4. When everything is entered, a manager identifies (elevation) and chooses the action with the same name.

An outgoing movement above the venue’s approval ceiling is not recorded straight away: the register warns you before sending, then shows “Demande envoyée à l’administrateur — le solde du coffre n’a pas bougé” (Request sent to the administrator — the safe balance has not moved). The counter “1 sortie en attente de validation” (1 outgoing movement awaiting approval) stays visible until the decision, which arrives as a notification (Sortie validée, Outgoing movement approved, or Sortie refusée, Outgoing movement refused). An incoming movement never waits for approval. Approval is done in the back office, Coffre screen.

With the setting “Coffre : menu « Approvisionnement » à quatre sens” (Safe: four-way “Supply” menu) (off by default), the screen first shows four choices: Dépôt au coffre (Drop to the safe), Ravitaillement (Refill), Sortie vers un tiers (Out to a third party), Entrée d’un tiers (In from a third party). Each choice opens the matching form; the actions and the permissions stay exactly those described above.
